Admissions and Enrollment
Question: On the Admissions and Enrollment tab, what do the dates mean? Is 2003-04, for example, supposed to refer to students admitted during 2002-03 and enrolled in AU03 or those admitted during 2003-04 and enrolled in AU05? Or, is the quarter of admission supposed to be the same as the first quarter of enrollment?
Answer: On the Admissions and Enrollment tab, doctoral students should be counted in the academic year in which they were admitted and/or enrolled. For example, students admitted and enrolled for 2002-03 would mean students who are admitted for academic year 2002-03 and enroll in academic year 2002-03. So students who are admitted for AU02 and enroll AU02 should be listed for 2002-03.
Question: On the Admissions and Enrollment tab, what is the definition of "continuous enrollment" policy?
Answer: Some universities require that their doctoral students enroll every semester or quarter (though usually not summer) from matriculation to graduation. The NRC is interested in knowing whether such policies have an effect on completion and time to degree.
Admit_Enroll_GRE_Details
Question: On my Admit_Enroll_GRE_Details tab, there are multiple rows for the same student. Why are they on the list more than once? How will they be counted? Should I mark their extra row(s) to be removed from the list?
Answer: Doctoral students are on the Admit_Enroll_GRE_Details list for each quarter in which they were admitted. They will be counted either in the quarter in which they were admitted and enrolled or, if never enrolled, in the most recent quarter in which they were admitted. A doctoral student will be counted as admitted and/or enrolled only once for each doctoral program. Consequently, they will be counted only once as a GRE/GMAT test taker (unless they have scores for both the GRE and GMAT) and their GRE scores will be counted only once toward the median score for your program. You may mark the extra rows to be removed, but it is not necessary as it will be done in the final counting process.
Completions Cohorts
Question: There are students on the Completions Cohorts tab that entered my doctoral program but didn’t receive a PhD. Why are they on this list? Should I mark them to be removed from the list?
Answer: The Completions Cohorts will be used to complete retention and degree completion tables. Doctoral students entering in a given cohort year will be counted in categories such as the number leaving before completing two years, the number leaving after receiving a master’s degree, and the number who completed within a given number of years after enrolling. Therefore, all students who entered your program within a given cohort year should remain on the list, regardless of their end status.
Doctoral Student Details
Question: On the Doctoral Student Details tab, many of my students are showing up as part-time but I think they are full-time. Why is this showing this way?
Answer: The criteria used to determine the full-time or part-time status shown on the Doctoral Student Details tab was 10 or more credit hours for fee purposes, and the student must have paid and had the courses on record as of 15th day. This is the University’s official definition of full-time and is a separate issue from the Graduate School requirement of 9 credit hours for a full-time fee authorization.
Postdoctoral Scholars
Question: On the Postdoctoral Scholars tab, do you want only current postdoctoral scholars or those from the past three years?
Answer: When responding to questions on the Postdoctoral Scholars tab, please answer for fiscal year 2006 (summer 2005 – spring 2006) only.
Taxonomy
Question: The e-mail we received says that the taxonomy sent as an
attachment should be used to answer a question on one of the spreadsheets.
Which spreadsheet requires using the taxonomy?
Answer: The Taxonomy is provided to use in completing the first table
on the Program Scope and Policies tab.
