Buckeye Link and SIS

With the implementation of the first phase of the Student Information System (SIS) in June of 2008, the SIS and HR Systems now share a common database and a common OSU ID format (Referred to as Employee ID number in the HR System). This new numbering scheme uniquely identifies new individuals to the university and allows the university to maintain current and new employee and student records in the same database, providing a more flexible system to meet our future needs. The new numbering scheme impacts HR, the Medical Center, the new SIS and the Operational Data Store (a database that contains a daily "snapshot" of key transactional information used for queries and reports). The impacts to each area are outlined below:

HR System Implementation began on March 29, 2008:
As of March 29th, The HR system began assigning a 9-digit OSU ID number (or Employee ID number) for all new employees. All new hires will be assigned a number in the range of 200000000 to 999999999. Unlike the current 8-digit Employee ID number, the first 2 digits of the 9-digit OSU ID or Employee ID numbering system will NOT represent the year of hire. Due to the flexibility of the new system and its ability to handle variable lengths, current and former employees will retain their 8-digit Employee ID numbers, while new employees will be assigned a 9-digit OSU ID number.

Medical Center implementation began in April, 2008:
In addition to the OSU ID number (or Employee ID number), the Medical Center is now issuing a Badge ID number to all new medical center employees that began employment in April 2008. This Badge ID number has been created to accommodate critical Medical Center systems.

Student System Impact began in May, 2008:
In May 2008, the SIS Project will begin to transition data from the current legacy systems to the new SIS with the conversion of all student biographical information. At this time, SSN’s were removed as the student’s identifier and were replaced with a new OSU ID number. If the student is or was an OSU employee, their existing 8-digit Employee ID number will be the student’s OSU ID number. Otherwise, a 9-digit OSU ID number was assigned.

As of June, 2008, The Buck ID center began imprinting OSU ID numbers on identification cards distributed to new students.

As of Monday, September 29, 2008, students can obtain their 8 or 9-digit OSU ID number by logging into buckeyelink.osu.edu and selecting the “Lookup your OSU ID Number” link, which is located on the student tab in the personal information section.  As a security and privacy measure, the OSU ID number replaces SSN as the main identifier for students, providing a higher level of identity protection for students, as well as all student related data systems.  While some students may not need to know their OSU ID number until the new Student Information System (SIS) is fully implemented later in 2009, students who have signed up for Student Health Insurance will need to obtain their OSU ID number now in order to print their insurance card and/or to apply for Ohio State University Administered ScholarshipsStudents must still use their SSN in order to apply for Federal and State Financial Aid.

Operational Data Store (ODS) Impact continues through summer, 2009:
The "legacy" Operational Data Store (ODS) will continue to use SSN’s as the main identifier for students until the end of Spring Quarter, 2009. To assist ODS customers in phasing out the use of SSN as a main identifier from June 2008 to June 2009, an OSU ID number / SSN crosswalk table (lookup table) will be created in the Legacy ODS beginning with Phase One of the SIS implementation in June of 2008. Upon completion of the final phase of the SIS implementation in the Spring of 2009, the ODS will only contain the OSU ID number as the main identifier for all student data. Updates to the Legacy ODS will cease at this point.

Buckeye Link and SIS

A new version of Buckeye Link (buckeyelink.osu.edu), available May 18, consolidates academic web services for all members of the Ohio State community into one convenient location. Where the current Buckeye Link focuses on current students, the new Buckeye Link provides something for everyone--current students, future students, alumni, faculty, and staff.

The new Buckeye Link features multiple pages, one for each Ohio State user community (current students, future students, alumni, and faculty/staff), with a convenient tab-based navigation bar so you can easily access the page you need.

Services Consolidated in the Redesigned Buckeye Link
The redesigned Buckeye Link site consolidates services currently available through a number of links from the osu.edu home page:

  • Buckeye Link
  • Future Students
  • Current Students
  • Alumni
  • Faculty/Staff
  • These services were chosen based on input from Ohio State students, faculty, and staff. The overarching goal was to make Buckeye Link a single, university-wide resource for academic business.

    Page Organization
    Each page includes three columns:

  • The left column features announcements of interest to that particular university audience.
  • The middle column provides core web services for that audience.
  • The right column provides important links to academic and business area web sites which that audience will use.
  • Updates to Buckeye Link
    Starting June 2, additional options will become available for web services depending on the quarter and year that users need to access. These links will change as the new Student Information System is phased in over the next year. In most cases, as these new functions become available, two links will be provided: one for quarters prior to Summer 2009 (pointing to current computer systems) and another for quarters after and including Summer 2009 (pointing to the new Student Information System).
