Student Profile Left Menu Items

No matter what tab you are using, on each student profile page you will see Options - I want to..., Current Notifications, Active Appt. Campaigns, Links, Student Info, and Success Team on each tab on the left side.

Options - I want to...

  • Message Student- to email or text the student; emails and texts will be recorded in the OnCourse Conversations tab as well as sent to the student’s Outlook email inbox
  • Add a Note on this Student- add a note to the student history tab; notes are typically recorded to document emails and phone conversations, program and plan changes, and other important information the student and staff need to remember outside of an appointment. Notes are visible to all staff
  • Add a To-Do to this Student- add To-Dos for the student. You can view your To-Dos and Tasks for all students on the To-Dos & Tasks tab on the left sidebar
  • Report on Appointment- add a non-scheduled or drop-in appointment summary report. Use if there is no scheduled appointment. To add an appointment summary for a scheduled appointment, staff will use the Appointments tab on their own home page
  • Create Request for Appointment- create a request for a student to be scheduled in an appointment
  • Schedule an Appointment- create an appointment for a student. Opens the general Appointment Scheduler
  • Add to Student List- Add student to a Student List that you manage
  • Issue Notification- Add a single ad-hoc notification for a student. Notifications can include kudos, academic concerns, referrals, etc. More information can be found in Notifications and Cases

Current Notifications

Shows the number of open notifications and cases on the student. Click the link to view more information about the notification(s) and case(s).

Active Appt. Campaigns

Shows the open appointment campaigns where the student hasn’t met the requirements to remove them from campaign. 

Links

  • Buckeye Link and Advising Report (Staff)- opens a new tab into the staff view of the active student’s profile in Buckeye Link 
  • Buckeye Degree Planner (Stellic)- opens a new tab into the staff view of the active student’s profile in BDP/Stellic
  • Degree Audit- opens a new tab into the staff view of the active student’s profile in the old degree audit system
  • OnCourse Tech Support- opens a new tab to the tech support form to submit any issues to the OnCourse team

  • Student ID: EMPLID

Success Team

At top, all assigned staff. Staff could be assigned via the SIS, or directly in OnCourse. Clicking the envelope opens a messaging sidebar to allow emailing the assigned staff.

At bottom, all current semester instructors including course and section they teach. Clicking the envelope opens a messaging sidebar to allow emailing the instructor.

Student Summary (Gut Check)

All data matches the Advising Report in Buckeye Link.

  • Course Grade D/F- Shows the number of Ds and Es the student has earned at Ohio State. Clicking the down arrow shows these courses and the grades earned.
  • Repeated Courses- Shows the number of repeated courses the student has taken at Ohio State. Clicking the down arrow shows these courses and the grades earned.
  • Withdrawn Courses- Shows the number of withdrawn courses the student has taken at Ohio State. Clicking the down arrow shows these courses.
  • Missed Success Markers- Shows the number of GE courses the student has either not taken or failed. Takes into consideration K and EM classes. Does not consider testing out of classes or other types of GE completion.
  • Cumulative GE- shows the Ohio State cumulative GPA
  • Total Credits Earned- shows the number of credits earned. Does not distinguish between transfer credits and institution credits.
  • Credit Completion % at this Institution- shows the student’s credit completion percentage. Hovering over the number shows the total attempted credits vs. the total credits earned.

Overview

Left column- Program and Plans

Shows current primary program and plan, with degree goal and concentration(s), if any; followed by Other Major(s) if any (other plans, minors, etc.); if the student has changed programs and/or plans, Major History will be listed at the bottom. Clicking the down arrow will open the program and plan history, including first term of enrollment in each program and plan.

Middle Column- Student Information

Student ID is the EMPLID

Name.# (previously secondary ID) is the student name.# 

Classification is based on number of credit hours/rank or career:

Most Recent Enrollment shows most recent term the student was enrolled in any classes. May also include K or EM credits, or dropped classes for the term.

Additional Roles shows any user types (each with its own homepage) the student has in the system: Advisor, Tutor, Coaching, Student, Professor, Study Hall Monitor, Administrator, Superuser. If the student has a staff role, you will see this here.

Right Column- LMS Login    

Shows the date of the last LMS (CarmenCanvas) login. Keep in mind that if the student uses the app, they may only log in once a week or month.

Goals & Interests (supplied by the student)

We do not currently use the student goals module of OnCourse. Favorite Resources refers to resources the student has favorited in the OnCourse mobile app, including academic resources they wish to refer to in the future.

Categories

Categories are student academic attributes or groups brought over from Buckeye Link and represent yesterday’s status in the SIS for the term, and change from term to term or as changes are made in Buckeye Link. More information can be found in the Categories and Tags section.

Tags

Tags are student academic attributes or groups created by the OnCourse team or other superusers to support student success and easily find cohorts of students. Tags are fixed until edited. More information can be found in the Categories and Tags section.

Success Markers

Completed Success Markers: GEs the student has completed

Missing: Ohio State does not use this as students can complete their GEs anytime during their undergraduate career

Upcoming: GEs the student still needs to complete

If completed, clicking the link will show the course, grade, and term the student completed the GE. If Upcoming, clicking the link will show all the GE courses that will count to complete this GE.

GPA Trends by Term

Shows a multi-line graph for term GPA and cumulative/overall GPA (at Ohio State, cumulative and overall GPA are the same as we do not count transfer GPAs). The cum GPA shown is for the primary career.

Credit Trends by Term

Shows a bar and line graph. 

The line shows total cumulative credits earned by each term for the primary career that term. For instance, the line graph might show 124 credits for Spring 2025 and 0 credits for Fall 2025, because the student graduated in the spring term and then went directly into a professional program in the fall. For students who are enrolled in two career tracks simultaneously, the credits shown will be for the primary career (listed first on the Advising Report in Buckeye Link). The total credits earned axis is on the right side of the graph.

The darker part of the bar shows earned credits for the indicated term. The lighter part of the bar shows attempted credits. For instance, if a student completed 12 of 15 credits in Spring 2026, 80% of the bar will be dark and 20% of the bar will be light, showing 80% credit completion for that term. The left axis shows term credit hours.

Shows every enrolled term with GPAs and credits attempted and earned.

To-Dos

Staff To-Dos show in this box, including what the to-do is, when it is due, if the student can view it, who created it, when it was created, when it was completed, and who completed it. Click View to view more details. If you have permission to do so, you will see Edit under the Actions column to edit the To-Do. To complete or delete the to-do(s), click the box next to the to-do, then click the actions drop-down and click Complete Selected To-Dos or Delete Selected To-Dos. To see other staff to-dos, un-check the Only Mine box. To see completed To-Dos, un-check the Hide Completed box.

History

Shows all Appointment Summaries, Notes, Cases, Notifications, Hand Raises (Student Initiated Notifications, Progress Reports, Check-Ins (Visits to Support Centers), and Event Attendance for the student. According to policy, all academic interaction documentation in OnCourse is deleted 10 years after their creation date, according to academic advising and support records policy, approved by the University Libraries and Ohio State Legal.


Appointment Summaries are visible depending on the staff person’s permissions (for instance, most staff don’t have access to view Student Financial Aid appointments). Appointment Summary summary notes show what kinds of appointment was scheduled and for which date. It shows the time, location, and comments, which are any comments made when staff or the student scheduled the appointment. Appointment summary notes show what the staff person wrote during or after the appointment for other staff and students to review later. Appointment summary notes should include important academic information about what was discussed for the student and other support staff to review later. They should not include personal, financial, or health information about the student. Staff can use coded language to protect the student’s privacy. Courses

All course data comes directly from the SIS and included non-credit and non-graded sections. By clicking the box(es) next to the course(s) and then clicking the Action dropdown, staff can easily send a message to the instructor(s) or create a Progress Report for the class.

Course- shows all course enrollments for the selected term. Includes course name and number, section number, section type, class name

Professor- all instructors, recitation leaders, teacher’s assistants, and course leads attached to the class and section; 

Days/Times- dates of the course, days of the course, time of the course, and location of the course

Mid- not used at Ohio State

Final- final letter grade as listed currently in Buckeye Link

LMS Current Course Score- only listed for current term active classes. Shows CarmenCanvas percentage for the class as of the day before. Does not include past due grades in calculation.

Absence- not used at Ohio State

LMS Assignments

Shows all CarmenCanvas assignments for the selected term. Staff can use the term, course, type, and status dropdowns to filter: 

  • Type- refers to type of entry in the gradebook, which includes assignments, discussions, external tools, and quizzes. Assignments which do not earn grades are listed as Not Graded.
  • Status- Refers to if and how the assignment was turned in. If the assignment was turned in and marked completed before the due date, it is Completed On Time. If the assignment does not have a due date listed in CarmenCanvas, its status is No Due Date. If the instructor has not marked the assignment as turned in, its status is No Submission Record (this typically occurs if the assignment is hidden during grading). If the assignment was turned in after the due date, it is Not Completed On time. If the assignment has not been turned in yet and it is past the due date, it is listed as Past Due. Keep in mind that if the due date was yesterday and the assignment was turned in late that evening, it could be marked past due because the record of its completion will not be added to OnCourse until the next day (owning to the data lag).

The table shows all information after filters have been chosen. Each column can be sorted alphabetically using the arrows next to the column name:

  • Course- shows all course enrollments for the selected term. Includes course name and number, section number, section type, class name
  • Term- shows the term of enrollment for the course
  • Assignment- shows the name of the assignment from CarmenCanvas
  • Type- shows the assignment type from CarmenCanvas
  • Status- shows if and how the assignment was turned in
  • Due Date- date assignment is due as listed in CarmenCanvas
  • Percentage- not used at Ohio State
  • Grade Hidden From Student- shows if the assignment is currently being hidden from the student to allow for grading, curving, etc.

Term Details

Term Information

Shows every term enrollment, grades and EM, and K credit. All recitations and other non-credit classes are also listed. Hovering over each row will show details of the course selected.

The first column shows the number of credits earned and the number of credits enrolled in in parentheses if the credits were not or have not yet been earned. 

The second column shows the course name and number, abbreviated. 

The third column shows the class name. The fourth column shows the grade. 

The section to the right of each term shows Term at a glance, including earned credits, credit completion percentage, term GPA, cumulative GPA and academic standing for the term.

Pre-Enrollment and Progression

Each test score listed in Buckeye Link is listed, as well as the date the test was taken or entered as taken. To the right, the student’s high school is listed.

Shows all scheduled and cancelled appointments, courses, assignments (as brought over from CarmenCanvas), events, and school-wide events such as holidays. These can be filtered using the boxes at the top of the calendar. Appointments are listed by Care Unit. To see a list of calendar items, click List under the month and year above the calendar. Scheduled appointments can be edited by clicking the appointment which opens the Appointment Details box.

General

All sections include columns with: 

  • Date- date of the appointment. Shows Cancelled highlighted in red if the appointment was cancelled 
  • Care Unit- Care Unit of the appointment 
  • Service/Course- reason for appointment and course, if a tutoring or course-related appointment 
  • Comment- information the staff person or student added when scheduling the appointment 
  • Organizer- the appointment was with this staff person 
  • Report Filed?- was an appointment summary report filed? Options are:
    • Not Yet, which will also show if the appointment was cancelled
    • Details in green, with a link to view the appointment summary report
    • NO SHOW, also in green. 

Upcoming Appointments 

Staff can filter these by Care Unit. Shows any scheduled appointments that are coming up. Clicking the Show Cancelled box will show any cancelled appointments that were scheduled for a future date. 

Recent Appointments 

Shows appointments that occurred within the last 90 days. 

Cancelled Appointments 

Shows all cancelled appointments. Using the Actions dropdown, staff can export all cancelled appointments to Excel.

Email And Text Message Communications 

The +Send Message button allows the staff person to send a message to a student 

The table shows all Email and Text Messages sent via OnCourse, including automated appointment messages. All columns can be filtered or sorted alphabetically. All messages can also be filtered using the search bar at the top of the table. The three lines button to the right of the search bar allows the user to export their messages to excel, view the grid table (the standard view), view the column manager, which allows the user to move and hide columns, clear all filters and sorts, which resets the table, and a number of other complex functions. 

Note: A message is only marked Read if the user read the message in OnCourse.

Columns 

  • Checkbox- to mark a message read  
  • Three Lines- to mark a message read  
  • Status- options are Unread or blank (read) 
  • Date Sent- shows date and time the message was sent 
  • Sender- shows who sent the message. Reply, No indicates an automated reminder message. 
  • Recipient- shows who received the message 
  • Topic- shows email subject or complete text message. Clicking opens the whole text of the message, where the staff person can reply to the message. 
  • Type- shows if the message was sent via an automated process or was sent directly by a staff person
